Digitize HR Forms with Power Apps

I want to take every new-hire and onboarding form we still keep in filing cabinets and turn it into a truly digital experience powered by Microsoft 365. Using Power Apps for the front-end forms and Power Automate for the back-end logic, I need a solution that lets a manager launch an onboarding package, routes each form for electronic signature in the right order, and then drops the completed PDFs into our SharePoint document library where they remain fully searchable for the life of the record. The scope for this first phase is limited to employee and HR documents—specifically the entire onboarding set ( Intial review and interview matrix, checklist.). Once in place, the same approach will later be reused for leave requests and performance files, so the architecture needs to be easily extensible. Key goals • Zero paper handling from day one of hire • Intuitive Power App that adapts to desktop and mobile • Automated approval chain with conditional steps (e.g., IT only receives the equipment checklist after HR signs off) • Time-stamped electronic signatures captured inside Microsoft 365 • Final documents stored in a designated SharePoint library with metadata that supports quick search by employee name, form type, and date Deliverables for this phase 1. A fully functional Power App for the onboarding packet 2. Power Automate flows that cover routing, reminders, and exception handling 3. SharePoint library configuration with content types, metadata, and retention tags 4. Deployment guide and basic user instructions I’ll provide sample forms and existing SharePoint site access as soon as we start.
