SharePoint Clinical Repository Implementation

I need a new SharePoint Online site configured as a central clinical repository that makes day-to-day collaboration simple and controlled. The core of the build is straightforward: staff will be uploading and sharing administrative documents—policies, meeting minutes, onboarding packets and similar files—so the library structure, metadata, and permission model must make it effortless to locate the right file without risking accidental edits or exposure. Key requirements • Build a clean, intuitive site (modern UI) with one primary document library and logical subsites or folders only where absolutely necessary. • Configure document versioning, check-in/check-out, and granular permissions so each department sees only what it needs. • Create a custom, no-code approval workflow (Power Automate preferred) to route new or modified documents to the correct reviewer, log the decision, and notify the originator automatically. Approval status should be visible in the library columns. • Enable quick sharing and @mention commenting to reinforce the collaboration focus while keeping everything audited. • Apply consistent metadata (department, document type, review date) to drive views and search refiners. • Provide a short handover guide or screen-share session so my non-technical staff can manage the repository after launch. Acceptance criteria 1. A SharePoint URL I can open and start uploading documents to immediately. 2. Test file moves through the approval flow and lands in an “Approved” state with timestamp and approver recorded. 3. Search returns correct results when filtering by the defined metadata. 4. Permissions audit confirms only intended groups can view or edit each library area. If you have recent experience rolling out SharePoint or Power Automate approval flows for healthcare or similarly regulated environments, that will be an added advantage, but the first priority is getting a simple, reliable collaboration hub online quickly.
