1. Site Visit & Photography: Physically visit the institution and take at least 10–15 clear, geotagged photos of the institute's name board (captured from outside the building, and preferably inside too). Please use a geotagging app (e.g., GPS Map Camera: www.gpsmapcamera.com). Note: Geotagged photos are strictly mandatory in all scenarios. 2. Form Completion: Get the official Verification Form filled out, signed, and officially stamped by the HR department or the relevant academic authority. 3. Verifier Details: Collect the full details of the person verifying the document, including: Full Name, Designation, Department, and Official Contact Number/Email. 4. Refusal Protocol: In case of refusal to fill out the form, obtain a written refusal statement with an official stamp or signature as proof. If they refuse to provide this in writing, ask for permission to record a short audio clip of them stating their reason, along with their name, designation, and contact details. Crucially, if they refuse to fill out the form, you must ask them to provide the official email address, full name, and designation of the authorized person or department who can provide the verification directly to our team. If none of this is possible, at minimum, collect their name, designation, contact info, or a business card. 5. Address Not Found Protocol: If the institution is not found at the given address, take 7–8 geotagged photos of the exact address (including left/right neighboring name boards) and record a short (10-15 second) video of the location. Additionally, gather details (name, business name, and contact) of a nearby business of at least two owner who can confirm whether the institution exists there or has relocated. 6. Name Discrepancy Check: Ensure the name on the candidate's document matches the name on the institution's signboard. If there is a discrepancy, ask for the reason and request a one-line written explanation on the form or a copy of their Business Registration Certificate (BRC). 7. On-Site Quality Check: Before leaving the site, cross-check the completed form against the candidate's certificate. Ensure the start date, end date, and designation match exactly. 8. Form Completeness: Verify that all fields on the verification form are properly filled out with no blanks.
