QR Maintenance Tracking App Development

I am looking for a developer to build a professional, mobile-friendly QR code maintenance tracking application for Crystal Ice Solutions, a commercial ice machine cleaning company serving Charlotte, North Carolina. The primary goal Every commercial ice machine we service will receive a branded QR code plaque with a unique equipment ID, such as CIS-0001. Scanning the code should open the record for that specific machine, allowing authorized technicians to document service and customers to view maintenance history. Required features 1. Equipment database: Store each machine’s unique ID, customer, business location, machine details, and service schedule. 2. QR code system: Generate a unique QR code for every machine that links directly to its equipment record. 3. Technician access: Secure employee login with the ability to find equipment, complete service checklists, enter notes, and upload before-and-after photos. 4. Service history: Maintain a chronological record of every visit, including service dates, technician notes, photos, and completed maintenance tasks. 5. Customer access: Provide a secure customer portal and a limited public-facing QR page. Customers should be able to view appropriate service history and photos without accessing internal company information or other customers’ records. 6. Upcoming maintenance: Track quarterly cleaning schedules, display the next service date, and support automatic reminders for upcoming service. 7. Administrative dashboard: Allow the business owner to manage customers, locations, equipment, employees, service records, and schedules. 8. Important workflow requirements * Each QR code must be permanently associated with the correct machine. * Technicians should be able to complete a service record quickly from a phone while on-site. * Service records and photos must be saved and available for future visits. * Customer access must be restricted to the appropriate equipment and approved information. * The system should support approximately 350 machines initially, with the ability to grow to thousands. * The application should work well on both iPhone and android. I am interested in building a reliable minimum viable product using Bubble or another suitable platform, with the ability to expand functionality later. Online invoicing and payment collection are not required for the initial version. I want to focus first on equipment tracking, QR codes, service documentation, customer access, and maintenance reminders. I would like a clear proposal outlining the recommended technology, development timeline, total upfront cost, ongoing hosting and subscription costs, and any additional plugin or integration fees. I am looking for a practical business solution that Crystal Ice Solutions can own and use for daily operations, with room to develop into a proprietary platform in the future.
