Excel & Power BI Warehouse Tracker

Our warehouse needs a clean, reliable system that shows—at a glance—where every item has come from, how it has moved, and when it was used. I want complete traceability and a sense of orderliness, without having to sift through paperwork or scattered spreadsheets. Here’s the workflow I have in mind: • Excel will serve as the master data entry point. Each product entry or exit must be logged with item code, description, batch/lot, quantity, operator name, and time stamp. • Power Query or VBA (whichever you find more efficient) should handle the heavy lifting: append new transactions, prevent duplicate IDs, and instantly update current stock levels. • Power BI will pull directly from that Excel file—no manual exports—to produce interactive dashboards. I need visual cues for low stock, trend lines for product usage over time, and a searchable order history that lets me drill from summary down to individual transaction records. Deliverables 1. A fully-formatted Excel workbook with automated data-capture forms and locked formulas that calculate real-time stock on hand. 2. A connected Power BI report (.pbix) with at least these pages: Current Inventory, Product Usage, Order History, and Exceptions (e.g., negative stock or expired lots). 3. A short hand-off guide or screen-share recording so my team can refresh data, add new SKUs, and publish the Power BI reports without outside help. Acceptance criteria • Every product addition or usage event is uniquely time-stamped and traceable within two clicks in Power BI. • Stock variances between Excel and Power BI do not exceed one unit after refresh. • The solution runs on standard Microsoft 365—no premium or paid add-ins. If you have creative ideas on visualizing traceability or streamlining the Excel data entry form, I’m open to them, as long as the core requirements above are met.
